What You Need To Know Before Applying

All applicants will be required to agree to the European Pipe Band Championship 2023 Terms & Conditions found HERE

You are also advised to read carefully the Guide for Stand Operators which can be found HERE and the further guidance on the requirement for handwash units for food stalls HERE.

​

The market will contain artisan food and drink, art, craft and charity/not-for-profit stalls.  By the nature of this event, the food and drink products most suitable are those that can be given as a gift eg sweet treats, cakes, chocolates, preserves, spreads, biscuits, crackers, vinegars, dry packaged food, alcoholic and non alcoholic drinks etc. 

 

There is a separate procurement process carried out using Public Contracts Scotland (PCS), for providers of sweets, desserts, ice cream, public bar, hot food vans/units and hot and cold drinks. 

If this applies to you please contact cityevents@aberdeencity.gov.uk with the email address and postcode you used to register on the PCS system.  Please note the closing date for this process is 10 February 2023 at 12:00.

 

Market Stall Applications will only be considered from traders if:

  • Any food and drink provided is not covered as part of the Public Contracts Scotland procurement process explained above

  • It is clear that any food and drink being sold will not be consumed at the event

  • The applicant meets all of the terms and conditions

Please note that space is limited and by submitting an application you are noting your interest only and are not guaranteed a stall.  All applicants will be advised whether they have been successful or not.

​

Standard stall sizes of 3m x 3m apply and applicants can request a single or double stall, alternatively if more space is required please state that on the form.  The pitch will include 0.5 m either side of the stall for the use of guy ropes, if applicable, and no guy ropes are allowed to cross the front of the stall.  There is a chance the pitch may be sited on hard ground where is it not possible to use guy ropes so please ensure you come prepared with suitable balast to weigh down the gazebo.  It is the responsibility of the stall holder to provide their own tables and gazebos.  Please be sure your equipment is robust and suitable ie no garden gazebos and it is weighted appropriately with balast or, where possible, securely tied with guy ropes.

On the morning of the event, access to the site will be from 06:00, all stalls must be ready for inspection by 09:00 and no vehicles will be allowed to move within the site between 09:00 and 19:00.  Further details will be sent out prior to the event if your application is successful.

​

Prior to starting your application please ensure the following documents are to hand:

​

  1. Photos of your stall set up and of the products you intend to sell at this event

  2. Your Public Liability Insurance certificate clearly showing your name/business name and the expiration date

  3. Your Risk Assessment covering at least stall set up (in particular gazebo securing), cash handling and staff welfare

  4. For food and drink stalls:  Your Food Hygiene Information Scheme PASS certificate (or your HACCP plan)

The Application Process

​

The event will be held in conjunction with the Royal Scottish Pipe Band Association.  The event facilitators are Aberdeen City Council and Aberdeen Inspired.  The market operator is Aberdeen City Council.  The market stall booking process is being conducted by Ennoviga Ltd on behalf of Aberdeen City Council.

The booking process will follow the 5 steps below:

 

Fri 7th April - extended to Mon 1st May

All applications must be submitted, including copies of requested paperwork

​

Fri 28th April - extended to Mon 8th May

Applicants will be notified by email whether they have been successful or not.  Successful stallholders will receive an invoice for the stall payment

 

Fri 12th May       

Deadline for stall payments

​

Fri 2nd June       

Joining/access instructions together with staff & vehicle accreditation will be sent out

​

Sat 24th June

Trade stall - Single (3m x 3m) plot fee        £100

Trade stall - Double (6m x 3m) plot fee      £150

Charity stall - Single (3m x 3m) plot fee      £40
